Are You Traveling for Work? Here’s What We Need to Know.

Are You Traveling for Work? Here’s What We Need to Know.

If you’re traveling abroad for work, it’s important you let us know.

As a security precaution, we deny access to our clients’ Microsoft accounts from foreign locations. It’s unusual for our clients to login from countries they don’t regularly operate in, so when we see attempted access to an account, it’s automatically denied.

However, we understand that it’s imperative to have access to your email or other work documents when you’re traveling for work.

Here’s what you should do before you leave the country to ensure you won’t lose access during your trip.

Let us Know Ahead of Time in Writing

To avoid any disruptions while traveling, please communicate with us ahead of time so we know when and what to expect. There are three ways to accomplish this:

  1. Select “Travel Exclusion Request” on the HT Support app (quickest and easiest way to receive approval).
  2. Use this link (will require secondary verification so we know it’s you).
  3. Email us at support@hungerford.tech (will require secondary verification so we know it’s you).

A phone call will work in a pinch, but filling out the form or sending an email is preferable, as it can be quickly logged without any errors.

If you’re emailing us, what do we need to know specifically?

  • What dates will you be gone?
  • When will you be returning?
  • Which countries will you be traveling to?

“If we don’t know where you are, we don’t know which access attempts are legitimate. And remember, because you’re traveling, there is an added risk of company data being lost or stolen as your computer travels through airports, hotels and more.”

Knowing this information allows us to temporarily remove conditional access policies that block logins from foreign locations. We’ll know when to lift the conditional access policies and when to reimplement them when you return.

Additionally, knowing which countries you will be in allows us to make a temporary exception for those countries.

If we don’t know where you are, we don’t know which access attempts are legitimate. And remember, because you’re traveling, there is an added risk of company data being lost or stolen as your computer travels through airports, hotels and more. What Happens If You Forget to Notify Us?

We have to take a number of steps if we see an attempted login from outside of your country:

  1. We will lock your account.
  2. Once your account is locked, we will attempt to call you.
  3. If we cannot reach you, we will call your organization’s list contact for approval.
  4. You will remain locked until we can confirm it’s a legitimate login attempt.

We understand coordinating travel plans is hectic enough as is. But communicating those plans with us will save you a lot of headaches during your trip.

Furthermore, it’s important to ensure it is in writing and the proper information is given to us so we can temporarily lift the proper policies.
