What are MailTips in Microsoft Outlook?

While composing a message in Microsoft Outlook, you may have noticed an informative message regarding your email.

These are called MailTips and are meant to notify the sender of a potential problem before the message is sent.

These MailTips help senders avoid undesirable situations (such as replying all to a message in which the sender was a Bcc recipient) or bounce messages.

What Do MailTips Look Like?

Here are some examples of what MailTips will look like when you are composing a message.

In this example, the address bill@microsoft.com is highlighted yellow because it is not an internal contact. Microsoft highlights this address to ensure the sender meant to send this message to someone outside of their organization.

What Are Mailtips In Microsoft Outlook?

The sender in this example has added two groups with many recipients in each group, so Outlook informed the sender that 49 people will be receiving this message.

In this example, the recipient has an automatic reply stating they will be out until March 25. The sender can still send the message if they wish.

What are All of the Available MailTips in Outlook?

Invalid Internal Recipient

Notifies sender when an internal recipient doesn't exist and gives the sender the option to remove the recipient.

Mailbox Full

Informs sender when an internal recipient's mailbox is over capacity and gives the sender the option to remove the recipient. MailTip is updated every two hours if not sent immediately.

Automatic Replies

Alerts sender when an internal recipient has Automatic Replies on, showing the first 175 characters of the reply. Applies also to certain external recipients under specific domain configurations.

Custom

Displays when an internal recipient has a custom MailTip configured, providing specific information about the recipient.

Restricted Recipient

Indicates if the sender is prohibited from sending messages to the recipient, due to delivery restrictions.

External Recipients

Warns sender that the message will leave the organization, helping them decide on appropriate content.

Large Audience

Notifies sender when a distribution group exceeds the configured size limit, using group metrics data.

Moderated Recipient

Informs sender that the recipient requires message approval, potentially delaying delivery.

Reply All on Bcc

Alerts a Bcc recipient against revealing themselves via Reply All.

Oversize Message

Indicates when a message exceeds the maximum allowed size based on sender’s mailbox, recipient’s mailbox, or organization restrictions.
