To make this happen, we ask for at least one week’s notice. Here’s why:

Day 1: Initial Notification and Request

First things first, you can use our desktop app, which includes a convenient form to guide you through the information we need for the onboarding process. For more details on using the app, check out our guide. We start by gathering all the necessary information to understand the new hire’s role and IT requirements.

Day 1-2: Finding a Computer

We then determine if we need to purchase a new computer or repurpose an existing one:

  • New Purchase: Capture requirements, find a device, build a quote, and await your approval.
  • Existing Device: Locate a suitable device in stock or from a previous employee.

Day 1-3: Approval, Ordering & Receiving

Once you approve the quote for a new purchase, we place the order to get the right equipment. After placing the order, the shipping time typically ranges from 1-3 business days, depending on the supplier and current demand.

If we are using an existing device, there’s no need to deliver it to us physically. However, we do need someone to ensure the device is plugged in and online so we can set it up remotely. This step ensures that we have the correct hardware in hand and are ready to proceed with the setup as soon as possible.

Day 2-5: Setting Up the Computer

We perform a thorough initial setup, including wiping any previous data and installing the necessary software to meet your company’s specifications. Here are the main steps:

  • Initial Setup: Remove bloatware, apply updates and security patches, and ensure the computer is working properly.
  • Company Customization: Install company-specific applications and configure settings applicable to all employees.
  • Employee Customization: Set up applications, permissions and email groups specific to the new employee.

Day 2-6: Delivery

We arrange for the computer’s delivery to your office or remote employee. Whether it’s sending it to your office or shipping it to a remote employee, we make sure the computer gets to the right place on time.

Day 2-7: Follow-Up

After delivery, we conduct a follow-up to ensure everything is working smoothly, addressing any issues like printer setups, application access and multifactor authentication.

Potential Delays

Timely setup is crucial, and we do our best to ensure a smooth process. Shipping times, retrieving devices and getting timely answers can cause delays. When we work together and both sides respond quickly, it helps everything move faster.

How to Minimize Risk:

  • Keep Spare Computers: Maintain a few spare computers ready for quick customization.
  • Standardize Equipment: Standardize computers and configurations to speed up the setup process.

Emergency Setup:

In emergencies, we use laptops from our emergency stock, which may not be a perfect fit but gets the new hire up and running quickly.

Theoretical Shortest Path: 1-2 days. We’ve done it all in one day before, but it’s not reliably possible.
